March 2001 ChecklistPLANNER'S PORTFOLIO:




The following checklist was compiled with the help of David Shackley of Catalyst Events, 210 Cameron St., Alexandria, Va. 22314


  • What is the size of the group, and what is the average age and gender ratio of members?
  • Has the group participated in a team-building activity before?
  • What is the purpose of the activity? For example, is it to build camaraderie or to motivate attendees?
  • What is the culture of the group? Are members academics (teachers, researchers), professionals (bankers, lawyers, doctors, executives) or creative types (editors, illustrators, designers)?
  • Are group members comfortable together in a nonwork environment, or do they rarely interact outside of the office?
  • What is the overall personality of the group? Do members exhibit a sense of humor, or do they tend to be serious in demeanor?
  • Is the group laid-back or intensely competitive?
  • Do group members prefer adventurous, outdoor pursuits, or are they inclined to indoor activities?
  • Will everyone be able to participate in activities, or will some be excluded for health or physical reasons?
  • Will members participate actively and willingly in the program, or are they resistant to the whole idea?

  • Provide the team-building company with as much information on the group as possible. Highlight the group’s strengths, weaknesses, reasons for team building and desired achievements.
  • Was considerable time spent discussing the group’s goals, philosophies and objectives?
  • Is the company interested in integrating personal goals into the overall team-building concept?
  • Is the supplier willing to customize a program to fit the group’s particular needs?
  • What is the largest group the company has managed?
  • Does the company provide postprogram workshops to help attendees transfer team-building skills from the course to their jobs?
  • Is the company willing to work with physically challenged attendees?
  • Meet with the facilitator assigned to the group. Is he or she engaging and energetic?
  • Ask about safety precautions.
  • Inquire about liability insurance.
  • What contingency plans are in place in the event of bad weather?
  • How long has the company been in business?
  • Ask for and check references.
  • Ask for a breakdown of what is included in the service price.

  • Are the programs interesting, challenging and fun?
  • Would the programs appeal to the group as a whole? Are any special skills required? (While the prospect of scaling a 60-foot wall might motivate some participants, it also could demoralize more than a few.)
  • How much time is required for each activity? Consider the group’s agenda and how much time should be allotted to team-building events.
  • Are the goals of each activity realistic and clearly outlined?
  • If possible, have the team-building company arrange for you to observe a program. If this is not possible, arrange to see the course in advance.
