Meetings & Conventions: Short Cuts August 2001

August 2001
Short
Cuts:On the SpotWhat is your most effective tactic for saving time?“When we have a meeting, we might have up to 100 boxes
to be shipped out. Creating a master list numbering the boxes,
listing their contents, indicating what room at the hotel they are
to go to, the date of shipping, etc. saves many headaches at the
other end.”

“We color-code everything. During our events, which
draw more than 20,000 attendees, we even color-code daily, updated
communication lists with contact information for all suppliers,
staff and volunteers. If a person is looking at a green list and
everyone else is looking at a blue one, he knows he has outdated
information.”

“I’ve learned to break everything down into very specific
elements. I have different ring binders for faculty, vendors,
catering, contracts, registration, etc. Things are just easier to
find that way. Also, a bin of conference supplies is constantly
restocked and ready to go.”
